Destination Wedding Room Block Contracts 101: Your Step-by-Step Guide
Before diving in, make sure you read our previous post about Flexible vs. Contracted Group to understand if a room block contract is right for your celebration!
Ready to learn how contracted room blocks actually work? Let me walk you through the process step by step.
Part 1: Requesting Your Contract
First, we'll strategically plan your room mix. I always recommend locking in the room category you want as the couple, plus a good selection of entry-level rooms and a few upgrade options like swim-up suites for guests who want to splurge.
The investment? Typically, $100 per room to secure your block. Some resorts may require 10% of the total room block as a deposit, especially if you are getting married during a peak season.
Let's continue with the $100 room block example. Want 20 rooms? That's a $2,000 deposit. But here's the thing – this isn't money down the drain. It's paying part of your room cost and gets credited back once everyone pays in full.
Go N' Wander handles all the resort negotiations for you, so you don't have to deal with any back-and-forth.
Part 2: Reviewing and Signing
Once we get your contract, I'll send it over with a personalized video walking you through every detail. Take your time reviewing it and ask me any questions – I'd rather spend extra time explaining now than have you worry later.
Pay special attention to the important dates: guest deposit deadlines, final payment dates, and your deadline to release unsold rooms without penalties. Also note all your "freebies" – comp rooms, cocktail hours, upgrades – because these perks are huge for your wedding budget!
Part 3: Booking Your Guests
After your contract is signed and deposit paid, we create a custom website with everything your guests need: important dates, resort information, room categories, pricing, and booking forms. Plus a FAQ section so you're not fielding a million questions.
Your job? Just direct guests to the website. That's it!
Common "What If" Questions
Run out of rooms? - We can usually request more if you're planning ahead. They might be at your contracted rate or current pricing, depending on your contract.
Only booked 15 rooms but contracted for 20? - No problem! Release those extra rooms before your attrition deadline, and there are typically no penalties. Don't worry, I'll send you reminders before the attrtion deadline.
When do I get paid for comp rooms? - Typically calculated the week of travel, with payment after your last guest checks in (can take up to 6 weeks). Remember, comp rooms are based on the number of booked and traveled rooms.
